Privacy Policy

Last updated: 10 October 2026

This policy explains what personal data MarketingNinza collects through this website and when you contact or work with us, why we use it, who we share it with, how long we keep it, and the choices and rights you have. We have kept it in plain language.

We follow India’s Information Technology Act, 2000 and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023 and its Rules as they come into force.

1. Who we are

MarketingNinza is a B2B lead generation and personal branding service based in Kolkata, India. For this policy, MarketingNinza is the “data fiduciary”: we decide why and how your personal data is used.

2. What this policy covers

This policy covers personal data we collect through marketingninza.com, through our booking and contact forms, by email, phone and video calls, and while we provide our services to you.

When a client gives us access to their own ad accounts, analytics or CRM, any personal data in those systems belongs to the client. We process it only on their instructions, under our agreement with them, and not under this policy.

3. Personal data we collect

Information you give us

  • Enquiries: your name, work email, phone number, company, job title, website and anything you write in a contact form or email.
  • Call bookings: when you book a call through our scheduling tool (Calendly), your name, email, the time you choose and your answers to any booking questions.
  • Calls and meetings: notes we take during calls, and what you tell us about your business, marketing and sales process.
  • Clients: billing contact details, GST number and billing address, and the information needed to deliver and invoice our services.

  • Device data: browser type, device type, operating system and screen size.
  • Cookies and similar technologies: see section 6.

Information from other sources

  • Ad platform lead forms: if you submit a lead form to us on Google or LinkedIn, the platform passes us the details you entered.
  • Public business information: before a call, we may look at your company website and your public professional profile (for example on LinkedIn) to prepare.

We do not ask for sensitive personal data such as financial account passwords, health information or biometric data. Please don’t send it to us.

5. Who we share it with

We share personal data only with service providers who help us run our business, and only what they need to do their job. They are bound to protect it.

  • Website hosting and maintenance: our hosting provider stores this website and its form submissions.
  • Scheduling: Calendly, when you book a call.
  • Email, documents and CRM: the tools we use to send email, keep notes and track enquiries.
  • Analytics and advertising: Google (Google Analytics, Google Ads), LinkedIn and Meta, when we use their tools on this website (see section 6).
  • Fonts: this website loads fonts from Google Fonts, which means your browser connects to Google’s servers and shares your IP address with them.
  • Professional advisers: our accountants and lawyers, where needed.
  • Authorities: government or law enforcement bodies, when the law requires it.

If MarketingNinza is ever merged, acquired or restructured, personal data may pass to the new owner, who must keep protecting it under this policy.

6. Cookies and tracking

Cookies are small files stored in your browser. We use:

  • Essential cookies, needed for the website and its forms to work. These are always on.
  • Analytics cookies, such as Google Analytics, to understand how visitors use the website. They give us aggregated reports, not your identity.
  • Advertising cookies and pixels, such as the Google Ads tag, LinkedIn Insight Tag and Meta Pixel, to measure whether our ads lead to enquiries and to show our ads to people who have visited this website.
  • Booking cookies, set by Calendly when you open the booking window.

You can block or delete cookies in your browser settings. Blocking essential cookies may stop forms from working. You can also opt out of Google Analytics with the Google Analytics opt-out browser add-on, and adjust ad personalisation in your Google, LinkedIn and Meta account settings.

7. Data stored outside India

Some of our service providers, including Google, Calendly, LinkedIn and Meta, store data on servers outside India, mainly in the United States. We only use providers that apply recognised security standards, and we follow any restrictions the Government of India places on transfers to particular countries.

8. How long we keep it

  • Enquiries and call notes that don’t lead to work together: up to 24 months after our last contact, then deleted.
  • Client records: for the length of our agreement and then for as long as tax, accounting and other laws require.
  • Marketing emails: until you unsubscribe or ask us to stop.
  • Analytics data: for the retention period set in the analytics tool, currently 14 months for Google Analytics.

When data is no longer needed, we delete it or make it anonymous.

9. How we protect it

We use reasonable security practices to protect personal data, including encrypted (HTTPS) connections, two-factor authentication on the accounts that hold your data, access limited to the people who need it, and keeping software up to date. No system is completely secure. If a breach affects your personal data, we will inform you and the relevant authorities as the law requires.

10. Your rights

You can ask us to:

  • Access a summary of the personal data we hold about you and how we use it.
  • Correct, complete or update inaccurate or incomplete data.
  • Erase your data, unless we must keep it to meet a legal obligation.
  • Withdraw consent you have given, for example to marketing emails or optional cookies. This doesn’t affect anything we did before you withdrew it.
  • Raise a grievance about how we handle your data.
  • Nominate another person to exercise these rights on your behalf if you die or become unable to do so.

To use any of these rights, email contact@marketingninza.com with the subject “Privacy request”. We may ask you to confirm your identity before acting on the request. We aim to reply within 30 days.

Every marketing email we send has an unsubscribe link, and unsubscribing takes effect straight away.

11. Grievances and complaints

If you have a concern or complaint about how we handle your personal data, contact our Grievance Officer at contact@marketingninza.com with the subject “Privacy grievance”, or write to us at the address in section 1. We will acknowledge your grievance within 7 days and aim to resolve it within 30 days.

If you are not satisfied with our response, you can complain to the Data Protection Board of India once the relevant provisions of the Digital Personal Data Protection Act, 2023 are in force.

12. Children

Our services are for businesses, and this website is not intended for anyone under 18. We do not knowingly collect personal data from children. If you believe a child has sent us personal data, contact us and we will delete it.

13. Links to other websites

This website links to other websites and tools, such as Calendly, LinkedIn and Google. Their own privacy policies apply when you use them, and we are not responsible for how they handle your data.

14. Changes to this policy

We may update this policy when our services, tools or the law change. We will change the “Last updated” date at the top, and for significant changes we will tell clients and contacts directly.

15. Contact us
